Receptionist - Elder Law Firm
We are looking for a receptionist for our 11-employee, 3 attorney
law office. This is a full-time, entry-level position for a person
interested in a career in the legal field and helping the elderly.
This is an in-office position.
The receptionist is expected to provide an excellent first
impression to all callers and visitors. The position is the "hub"
of the office and the receptionist filters all information to
appropriate team members. Your performance allows the office to be
more productive and efficient. The receptionist position in this
office is not like a normal switchboard receptionist position;
there is an expectation of attentiveness to verbal and written
details, follow-through, and critical thinking involved in the
position.
We are looking for candidates with sincere interest or experience
in the legal field and/or working with the elderly. Currently, our
firm has provided the first legal job for 9 of 10 employees in the
office - all seeking a career in the legal field. Almost all of the
team has extensive retail or other heavy customer service
experience. We place a high value on the client experience.
Our office is fast-paced. Most of the week, you may be left feeling
like you spent your entire day talking. As you gain skills in
performing the position's requirements, you may also have time to
assist others and gain valuable skills. Our team of 10 has 4 former
receptionists in various positions throughout the firm.
Considerations will be given to natural skills that can provide
value to our team in the future. We have a proven, basic training
plan for the position, but your success depends on your ability to
learn and work within a team.
Successful performers will have an interest in the legal field and
an interest in helping people with long-term disabilities and
illnesses such as dementia. Please share any connections you have
to these key points of interest.
Responsibilities:
--- First ring customer service responsibilities. You will be
expected to greet clients personably after the first ring, listen,
and accurately address their needs consistent with law firm
policies. You should be able to correctly filter callers to the
appropriate team members
--- Inbound communication management (other than emails). You will
be responsible for organizing written information delivered,
mailed, faxed, or transmitted to the office, and distributing it to
the proper personnel according to established procedures
--- Basic meeting planning and organization. You will aid the
appropriate team members in preparation for the day's appointments
and assist the client with prompt arrival and preparation for the
meeting
--- First impressions of the premises. You will be responsible for
ensuring that all office space is visually perfect for all firm
guests
--- You will ensure a client or office guest experience that leaves
them feeling the need to complement our professionalism in the
office. Excellent candidates will be attentive to client needs, and
follow up, when appropriate to ensure client needs are met
Qualifications:
--- Stable work history; reliable and consistent performance;
demonstrated progression within any employer are preferred
--- Experience engaging with a high volume of the customer, client,
or patient interactions
--- Quick learner - able to process training or information after
1-2 training interactions, and build on information previously
taught
--- Interpersonal skills - ability to listen and then communicate
clearly, patiently, and effectively with awareness of your
audience. Ability to think and communicate well on your feet.
Professional verbal skills are required
--- Written communication skills - able to express thoughts clearly
in writing using proper grammar and professional style
--- Accurate organizational skills - able to receive information
and accurately identify the proper location or person to distribute
the information
