Job Description:

Annual Salary: $40,000

Position Summary:

The purpose of this position is to perform administrative duties for the Vice President. This position involves advanced administrative activities and projects, as well as coordination with the Vice Presidents' direct reports, internal staff, and external parties. This position maintains and updates resource-related databases for the Vice President. This position also coordinates team meetings with management, including room preparation and the use of video/electronic equipment.

Essential Functions:

The following are the usual, basic and essential functions of the position. These functions are not to be construed as an exhaustive list of all responsibilities, duties, and skills required.

? Model ethical behavior and execute job responsibilities in accordance with core values, ethics, and information protection policies

? Answer and respond to phone calls and emails

? Organize, file and maintain corporate documents, records and reports

? Maintain calendars; Schedule and/or coordinate appointments, meetings, conferences, and other activities

? Create, copy and distribute forms and documents

? Compile data, create and maintain spreadsheets, databases, and meeting agendas/minutes

? Analyze data and prepare reports

? Monitor routine departmental administrative tasks (e.g., Quarterly Accomplishments, Monthly Resource Utilization) to ensure timely completion. Follow up on any outstanding items.

? Coordinate travel arrangements

? Create, process and keep records of the Vice President?s expense reports

? Coordinate with the HR Department

? Provide backup administrative support for management as appropriate

? Assist the Enterprise Architecture team with administrative tasks such as scheduling, tracking tickets, and generating meeting agendas/minutes

Required Knowledge, Skills, and Abilities:

? Advanced computer literacy in Word, Excel, PowerPoint and Outlook

? Analytical and quantitative skills

? Ability to review and evaluate data for accuracy and completeness

? Strong organizational, prioritization and multiple-task handling skills

? Strong interpersonal and communication skills, both verbal and written

? Ability to work independently and to use problem-solving techniques

Required Education:

? Associate degree OR 2 years relevant experience OR a combination of college education and relevant experience equivalent to 2 years

Preferred Education & Skills:

? Bachelor?s degree OR 4 years relevant experience OR a combination of college education and relevant experience equivalent to 4 years

? Bilingual

Physical Requirements:

? This position requires the ability to sit for long periods of time, hear/converse over the telephone, and key frequently on a computer (4 or more hours daily).
