ResponsibilitiesProvide operational support to the facility by performing various business office functions. These functions are to include (but not limited to): Human Resources, Medical Records, Admissions/Intake, Accounts Payable, Billing, Collections, Clinical Logs, month end reporting and other duties as assigned. Key Responsibilities:Coordinate the Business Office team and functions to ensure our operations run smoothly and efficiently and conducting all aspects of physician support to achieve organizational objectivesResponsible for direct supervision of non-medical personnel, including orientation, ongoing coaching and annual evaluationsAs a working manager, is the backup to all business office teammatesEnsures that administrative and accounting procedures are carried out timely and accurately and monitors reportsResponsible for office supplies and equipment and is main contact for building maintenance itemsActs as liaison with billing company, building maintenance and housekeeping companies Coordinate OSHA training for all locations.Coordinate with General Surgery Residency Program at OPResponsible for collecting and tracking passive income, process invoices monthly for perfusion, medical director, and ER Call Service line.Maintain passive/perfusion databaseNotify surgeon of pending malpractice, submit information to Malpractice Carrier and arrange depositions as needed.Responsible for the timely and accurate completion of payroll and forward to corporate for processing.Works closely with Clinical Director so that the flow of the overall operation is most efficient, reporting all activities to the Administrator.Demonstrates competency in performing job task and in operating equipment on an annual basisPublish call schedules for St. Vincent's location and Vascular Coverage quarterly, update Lightning Bolt (St. Vincent's) and PmD (Vascular).Approve employee timecards bi-weeklySubmit payroll changes to HR bi-weekly.Submit request for hospital access to employees as needed. Terminate access when employees leaveAddress PTO request as submitted and arrange vacation coverage for PTO.Maintain physician vacation request schedule and submit to each surgeon quarterly for approval and submission for call schedule creation.Track surgeon vacation days.Performs other miscellaneous administrative duties as needed QualificationsMinimum of an Associate degree (Bachelors preferred)5 years of experience in a medically- related environment required- surgery center experience a plusSupervisor of non-medical teammates requiredMedical terminology knowledge requiredExperience with patient admissions, scheduling, medical office operations desiredAn understanding of how insurance processes work including the verification process requiredComputer experience, Excel, Word, Medical Billing Software and Applications.Experience with SharePoint and Survey monkey preferred but not requiredGood communication skills and phone etiquette.
