POSITION: Scheduling Lead
REPORTS TO: General Manager
LOCATION: Jacksonville, FL
FLSA STATUS: Non - Exempt
SCHEDULE: Full Time: Monday-Friday
Job Summary:
The Scheduling Lead ensures that company objectives are met by
effectively scheduling field employees. The ideal candidate must be
able to multitask and provide quick answers and respond to
scheduling questions and/or problems. The Scheduling Lead must know
how to quickly shift resources to ensure the company is meeting all
staffing requirements and commitments. This position requires
excellent time management skills and the ability to prioritize
multiple competing requests.
What you'll do as a Scheduling Lead:
--- Responsible for staffing all open schedules based on the
company demand for 24/7 coverage
--- Work closely with the human resources and payroll departments
to ensure compliance
--- Perform various monthly software and system audits to ensure
data integrity
--- Oversee the day-to-day scheduling activities, including but not
limited to: filling open shifts, processing schedule changes,
reviewing PTO requests, reviewing swap shift requests, reviewing
bonus offers, reviewing shift give a way requests and submitting
status change requests
--- Oversee regular scheduling activities, including but not
limited to: pushing out new schedules, documenting processes and
procedures, and scheduler training
--- Process all scheduling system changes ranging from same day and
future staffing levels based on company demand and notifies
employees when scheduling changes occur
--- Maintain data integrity in the scheduling software
--- Lead, verify, and field the bidding process based on
operational demands
--- Basic understanding of scheduling functions as they relate to
payroll
--- Maintain records, prepare reports, and compose correspondence
relative to the Scheduling Department
--- Manage special events, working with customers for pricing and
scheduling
--- Coordinate and schedule student ride-a-longs
--- Perform other duties as assigned
What it takes to be successful in this role:
--- High school diploma or equivalent
--- Three years of experience in a fast-paced office or related
area
--- Intermediate experience level working with Microsoft Office
--- Excellent verbal, interpersonal, and written communication
skills
--- Excellent computer skills with the ability to learn scheduling
software quickly
--- Excellent problem solving skills while working with tight
deadlines
--- Maintain a positive Company image to all employees and a calm
and professional demeanor
--- Work collaboratively with multiple departments with positive
enthusiasm
--- Must have high attention to detail and be exceptionally
organized
Preferred Qualifications:
--- Experience in scheduling field employees
--- Experience with ePro Scheduler or scheduling software(s)
Mental & Physical Requirements
--- Must be available to work Monday-Friday 8am-5pm, including but
not limited to weekends, holidays, and overtime as needed
--- Ability to sit for an extended period and wear a telephone
headset
--- Requires frequent repetitive hand movements and prolonged
sitting, standing, walking, reaching and grasping
--- Must be able to hear and communicate clearly to perform job
duties in person and over the phone
--- Adequate vision required to be able to read information from
printed sources and computer screens
--- Occasional pushing, pulling or moving/lifting up to 50 pounds
of heavy supplies and equipment
--- Coordinate multiple tasks simultaneously
--- Collect, interpret, and/or analyze complex data and
information
--- Understand and respond to a diverse population
--- Utilize fine motor coordination, clear speech, and good visual
acuity
